These terms apply to every booking made with Be Free Retreats, a trading name of BE-PLC.CO.UK LTD (company number 17318783, registered office Birchwood Barn, Turners Hill Road, Crawley, RH10 4EY). By paying a deposit you accept them. Please read them; they are short.
A place on the Be Free retreat on the dates shown at the time of booking, in the room type you select, including the accommodation, meals, spa access, treatments, classes and hosting described on our website for that retreat. The programme may vary slightly on the day — for example a class may be swapped for another of similar nature, or an outdoor activity moved indoors for weather — without this being a change to your booking.
Bookings are made through our website or directly with Laura or Kate. A booking is confirmed when we have received your deposit and sent you written confirmation. Places are limited to 20 guests and are allocated in the order deposits are received.
Prices are shown in pounds sterling and include VAT where applicable. A deposit of £150 per person secures your place. The rest is paid in two instalments: half of the remaining balance by the first payment date, and the remainder by the final payment date, both shown on your booking confirmation. For the retreat beginning 8 March 2027 those dates are 31 August 2026 and 30 November 2026. If you book after a payment date has passed, that instalment is due at the time of booking. If a payment is not received by its due date we will remind you, and may release your place if it remains unpaid, in which case the deposit is retained. Payment is by bank transfer to the account details on your booking confirmation; please use your surname as the reference.
We are a small retreat and each place matters to us, so please tell us as early as you can.
You may transfer your place to another person at any time up to 7 days before the retreat, provided they complete a consultation with us first.
If we have to cancel the retreat for any reason, you may choose a full refund of everything you have paid or a place on a future retreat. We are not responsible for travel or other costs you have incurred. If we need to make a significant change (such as a change of venue or date) we will tell you as soon as possible and offer the same choice.
Guests must be 18 or over. Our retreats are designed for small groups of women; please contact us before booking if you have any question about suitability.
Before the retreat you will have a private consultation with us. Please tell us then about anything a therapist or instructor needs to know to look after you safely, including pregnancy, allergies, injuries, medical conditions or recent surgery. Practitioners may decline or adapt a treatment on the day if they consider it unsafe, and no refund is due in that case. Classes and walks are optional and you take part at your own risk; please listen to your body. The venue holds public liability insurance for the premises. Beyond that, you are responsible for your own insurance, and we recommend travel insurance that covers cancellation, medical needs and personal belongings.
We ask everyone to respect the calm of the retreat and the other guests. We may ask a guest whose behaviour is disruptive or unsafe to leave, without refund. We sometimes take photographs during retreats; we will always ask first and will only use recognisable images of you in our marketing with your agreement.
Our retreats take place at Croftview, Hinton St George, Somerset, which is owned and operated by a third party. You agree to follow the venue's house rules, and you are responsible for any damage you cause to the venue or its contents.
We take great care to deliver the retreat as described. We are not liable for losses that were not a foreseeable result of our breaking these terms, for loss of enjoyment, or for events outside our reasonable control. Nothing in these terms limits our liability for death or personal injury caused by our negligence, or for anything else the law does not allow us to limit. Our total liability to you is limited to the amount you have paid us for the retreat.
These terms are governed by the law of England and Wales and the courts of England and Wales have jurisdiction. If any part of these terms is found to be unenforceable the rest continues to apply. Our privacy policy explains how we use your personal information.
